### Notes are live on Dana
You can now add, edit, and delete notes directly from Dana. Notes link to one or more contacts and show up in their timeline, giving you and your team a shared history of every relationship.
* Add notes from the pencil icon next to the search bar or press **N** on your keyboard.
* Link notes to existing contacts or create new ones on the fly.
* Rich text supported: bold, italics, links, and ordered/unordered lists.
* Navigate between all contacts linked to a note from the note view.
* Edit or delete notes directly from the timeline.
Notes are private by default, but you can toggle sharing to make a note visible to your entire workspace. Shared notes show the creator's name in the timeline, and only the creator can edit or delete them.

Dana now connects with Notion, HubSpoot, and more.
## Bring your Notion workspace into every brief π
Dana now pulls from your Notion workspace, so the research and writing you've already done shows up automatically when you need it. It pulls in account research, prep docs, meeting notes, and anything you've written about the people and companies you're meeting with.
Inside your brief, relevant Notion content surfaces as a citation, with a Notion icon next to it. Click through and you go straight to the original page, so you can always trace an insight back to its source and read the full context.
**To connect,** go to **Settings > Integrations**. Find the Notion card and authorize access. Once connected, Dana starts drawing on your workspace for future briefs.

## HubSpot is now connected to Dana π€
If your team lives in HubSpot, Dana now knows what your CRM knows, and there won't be copying and pasting deal notes before a call anymore.

## Your Granola notes, right in your briefs π₯£
Connect Granola to Dana and it brings your meeting summaries, notes, and transcripts straight into your briefs.
Anytime Dana sources something from Granola, a citation appears next to it. Click it to jump right into those notes in the Granola desktop app.
It's read-only, so Dana never touches anything in Granola itself.

## Connect anything with custom MCP servers π
Beyond our native integrations, Dana now supports custom MCP (Model Context Protocol) servers.
If your team relies on a tool we don't natively support yet, connect it through its MCP server and Dana will fold that context into your briefs.
This means Dana isn't capped at the integrations we've built. Any tool with an MCP server can become a brief source, with the same citations and traceability you get everywhere else in Dana.

Every insight in your brief links back to its source.
Every point in your Dana brief comes with a citation. Citations let you trace any claim back to exactly where it came from so you never have to wonder *"where did Dana get this?"*
## How citations work
Hover over any citation marker in your brief for about a second to see a tooltip with:
* **The source type**: email, calendar event, LinkedIn data, note, Dex, Slack message, or Notion page
* **The date**: when the original data point was created or sent
* **A snippet**: a brief preview of the source content
* **A direct link**: click to jump to the original source
You can also click the source icon on any citation to go directly to the original without waiting for the tooltip.
## Supported sources
Citations can reference any of your connected sources:

## Built to grow
The citation system is extensible. As Dana adds new integrations, those sources will automatically appear as citations in your briefs, no changes needed on your end.
## Group meeting attribution
In meetings with multiple attendees, Dana attributes each citation to the specific contact it came from. A talking point about one attendee will cite sources related to that person, while a different point will cite sources for another so context never gets mixed up.

## Setting custom instructions
Go to **Settings β Brief Settings**.
Scroll to **Custom Instructions** and type in your preferences (up to 2,000 characters). Changes are saved automatically.
Hit **Regenerate** on any existing brief to see the change instantly.
Every future brief will follow your preferences automatically.
## Examples of useful instructions

## Tip: combine with integrations
Custom instructions work even better when paired with connected sources. If you've connected [Dex](/integrations/dex), [Slack](/integrations/slack), or [Notion](/integrations/notion), tell Dana which sources to prioritize:

Meeting briefs are the core of Dana. Before every meeting on your calendar, Dana automatically generates a brief that pulls together everything you should know: past interactions, relevant context, and key details about the people you're meeting.
## How briefs are generated
Dana cross-references your calendar, email, LinkedIn, and any other connected sources to surface what matters for each specific meeting. Briefs generate automatically β no manual prompting needed. You can also manually generate a brief from any meeting in Dana at any time.
Briefs pull from:
* **Email exchanges** with the attendees, timestamped with sender attribution
* **Calendar events** β past and upcoming meetings with the same attendees
* **LinkedIn profiles** of each attendee
* **Web search results** for company and topical context
* **Notes** you've added in Dana, linked to the relevant contacts
* **Dex** relationship history (if [connected](/integrations/dex))
## What you see in a brief
Every brief includes:
* **Attendee summaries** with relevant background and recent context
* **Cross-source patterns**: Dana surfaces connections across emails, calendar, LinkedIn, notes, and the web instead of isolated facts

## Sharing briefs with participants
You can optionally send a public brief to all meeting participants with topics, context, and optional prep, and no participant details are shared.
Control this from **Settings β Brief Settings** under **Public Briefs**:

Briefs may run slightly longer than they used to. Dana now includes more useful context per meeting. We're happy to hear your feedback so we can keep fine-tuning!

## Adding a note

## How notes show up in briefs
Notes you write appear as **citations** in your meeting briefs. If you wrote a note about an attendee last month, Dana will surface it in the brief for your next meeting with them.

# Connect your email

Your email is one of Dana's most important context sources.
Email is where most of your relationship history lives: past threads, agreements, and context you've shared with each attendee. Connecting email lets Dana surface the most relevant exchanges in every brief, with full timestamps and sender attribution so you know exactly who said what and when.
## Supported email providers
* **Gmail** (via Google Workspace or personal Gmail)
* **Microsoft Outlook** (via Microsoft 365 or Outlook.com)
## Connect your email
If you signed up with Google or Microsoft, your email is connected automatically. To verify or manage the connection:
Go to **Settings β Connected Accounts**.
Your Google or Outlook account should show as **Connected**.
If your email shows as disconnected, click **Reconnect** and re-authorize.
## What flows from email into your briefs
Once connected, Dana surfaces in every brief:
* **Recent and relevant email exchanges** with each meeting attendee, ranked by recency and relevance so the most useful context rises to the top
* **Relevant threads** based on the meeting topic, pulling cross-source patterns rather than isolated facts
* **Timestamped sender attribution** β every data point shows exactly who sent it and when (e.g. "\[8 May 2026, Sarah Chen]"), reducing repeated facts and misattributed details
All email content appears as **citations** in your brief. Hover over any citation marker to see the source, date, and a direct link to the original thread.
## Privacy
Dana reads your email to generate briefs but never sends, modifies, or stores the content of your emails beyond what's needed to surface them as context.

Calendar is a **core integration**. Dana needs it to find your meetings. Without a connected calendar, Dana can't generate briefs.
## Supported calendars

## Connecting calendar
Your calendar is connected during signup. To check or manage it:
Go to **Settings β Connected Accounts**.
Your Google or Outlook account should show as **Connected**.
Click **Reconnect** if your calendar has disconnected.
## What flows into your briefs
Dana reads:
* **Meeting metadata** β title, time, location, description
* **Attendees** β who's invited, internal vs. external

# Connecting your own tools with custom MCP servers

Connect the tools you already use β CRM, support desk, billing, and more β so Dana can pull their data into every meeting brief.
Dana can pull information from the tools you already use β your CRM, support desk, billing system, and more β and weave it into your meeting briefs. It does this through **custom MCP servers**.
An MCP server is simply a secure doorway that a tool provides so other apps (like Dana) can read information from it. Many products now offer one. If a tool you use has an MCP server, you can connect it to Dana and start seeing its data in your briefs.
This guide explains what you can connect, how to do it, and what to expect.
## What you get
Once a tool is connected, Dana automatically looks up each person in your meeting and adds anything relevant to your brief β for example, a customer's open deals, their recent support tickets, or your last few notes about them.
* **It happens automatically.** After you connect a tool once, Dana uses it for every brief. You don't run anything by hand.
* **Everything is sourced.** Each piece of information Dana adds shows where it came from, with the tool's icon and a "Referenced from β¦" label. When the tool provides a link, the reference is clickable so you can open the original record in one tap.
* **Dana only reads.** Dana never creates, edits, or deletes anything in your tools. It only looks things up.
## Who can use it
Custom MCP servers are available on all paid plans. The number you can connect depends on your plan:

Connecting one of Dana's built-in integrations (such as Slack, Dex, Notion, or HubSpot) does **not** count toward this limit.
## Before you begin
Not every tool can be connected yet. For Dana to connect to a tool, its MCP server needs to meet all of the following:
* **It's hosted online.** The server must be reachable over the internet at a web address (URL) that starts with `https://`. Servers that only run locally on your own computer can't be connected.
* **You can sign in to it.** Dana connects by sending you through the tool's normal sign-in screen, so you stay in control of what Dana can see. The tool needs to support apps connecting this way automatically. Tools that only offer a manual API key are not supported yet.
* **It can be read from.** Dana only ever uses the tool's read, search, and lookup features.
The most useful tools are ones that can look a person up by their **email address or name** β like a CRM or a support desk. Those give Dana the richest, most person-specific context. Tools that can only be searched by an internal ID still work, but they'll surface less about each attendee.
## How to connect a tool
Open **Settings β Integrations**.
Find the **Custom MCP servers** section and select **Add custom MCP server**.
Paste the tool's MCP server address (its `https://β¦` URL) and continue.
You'll be taken to the tool's own sign-in page to approve the connection. This is how the tool confirms it's really you and decides what Dana is allowed to see.
After you approve, Dana automatically figures out which lookups are useful for briefs and tests them. This takes a few moments.
Dana shows you what it found β the lookups it will use and a few real sample items pulled from the tool, so you can see the kind of information that will appear in your briefs.
That's it. There's no extra "confirm" step β once the scan finds usable information, the tool is connected and will be used in your next briefs.
If Dana can't find anything useful to read from the tool, it will let you know and won't take up one of your connection slots.
## Connection statuses
In the Custom MCP servers section, each connected tool shows a status:

## Managing your connections
* **Re-scan when a tool changes.** If a tool adds or removes features, you may see "Re-scan needed." A quick re-scan brings Dana back up to date.
* **Remove a tool anytime.** Select the trash icon next to a server and confirm. Dana stops pulling its data immediately, and you can reconnect later whenever you like.
* **If you downgrade your plan.** If your new plan allows fewer servers than you currently have connected, Dana keeps the ones you've used most recently and turns the rest off (they'll show as "Disabled"). Nothing is deleted β upgrade again or remove a server to re-enable the one you want to keep.
## Your privacy and security
Connecting a tool is designed to be safe and to keep you in control:
* **Read-only.** Dana never changes anything in your connected tools. It only looks information up.
* **You approve access.** You sign in through the tool's own screen, so you decide what Dana is allowed to see, and you can revoke it at any time from within that tool or by disconnecting it in Dana.
* **What's shared for lookups.** To find context about the people in a meeting, Dana sends an attendee's name and email address to the connected tool so it can look them up. This is what makes per-attendee context possible.
* **Secure connections only.** Dana connects only over secure (`https`) addresses and won't connect to private or internal network addresses.
## Troubleshooting
A few common reasons:
* The address doesn't start with `https://`, or it isn't a valid web address.
* The tool doesn't support automatic app sign-in yet (for example, it only offers a manual API key).
* The tool is one of Dana's built-ins (Slack, Dex, Notion, HubSpot, Granola) β connect it from its own tile instead.
* You've already connected that same tool.
* The address couldn't be reached.
The tool likely changed what it offers. Select **Re-scan**. If it persists, the tool may have removed a feature Dana was relying on β try reconnecting it.
The tool may not be able to look people up by email or name, so it has little attendee-specific information to contribute. Tools like CRMs and support desks (which key on email) give the best results.
Custom MCP servers are available on paid plans only. Upgrade from **Settings β Plans** to turn it on.
## Examples of tools you can connect
These are examples to show the *kinds* of tools that work well. The strongest fits for meeting briefs are tools that can look a person up by **email** β CRMs, support desks, and billing systems.

Connecting Dex brings your relationship history, notes, tags, and reminders into your Dana meeting briefs. When you open a brief, Dana cites Dex alongside email, calendar, and LinkedIn, so you walk into every meeting with the full picture of who you're meeting and what you've talked about before.
Dex is a **personal integration**. The connection is yours, not your workspace's, so your teammates won't see your Dex data in their briefs.
## Before you start
You'll need:
* An active Dana account
* An active Dex account, logged in on the same browser
Dex and Dana are both built by the same team. Connecting them is free and takes about a minute.
## Connect Dex to Dana
Go to **Settings β Integrations**.
Under **Personal integrations**, click **Dex**.
Click **Connect Dex**. A window will open for MCP authorization. If you're already logged into Dex in your browser, it will authorize automatically and close the window. If not, sign in to Dex first, and the authorization will complete.
Dex will show as **Connected** in your integrations list. Dana now has access to your Dex contacts, notes, and reminders.
## What flows from Dex into your briefs
Once connected, Dana automatically pulls the following from Dex when generating briefs:
* **Notes**: your contact notes appear as cited sources in briefs. The citation tooltip shows a snippet of the note, which contact it was created for, and a link to that contact in Dex.
* **Relationship history**: past interactions and timeline data for contacts
* **Tags**: how you've categorized the contact
* **Reminders**: active reminders for a contact may surface as suggested action items or opening questions in your brief
You can click the Dex icon on any citation to jump straight to the contact in Dex. Hovering over the citation for about a second shows the tooltip with a note snippet and attribution.
## How Dex data appears in briefs
In a group meeting, Dana attributes each Dex note to the specific contact it was created for, so it's clear which insight came from which relationship. For example, a talking point about internationalization might cite a Dex note created for one attendee, while a follow-up item cites a reminder set for another.
Note citations link to the Dex contact page (deep linking to the specific note is not yet supported).
## Tip: Tell Dana how to use your Dex data
If you want Dana to emphasize Dex relationship history in your briefs, add it to your [custom instructions](/features/custom-instructions):
1. Go to **Settings β Brief Settings**
2. Scroll to **Custom Instructions**
3. Add something like: *"Always include the most recent Dex note and any active reminders for each contact at the top of the brief."*
4. Hit **Regenerate** on any existing brief to test it
Future briefs will follow your preference automatically.
## Troubleshooting
Try regenerating an existing brief after connecting. If Dex data still doesn't appear, disconnect and reconnect from **Settings β Integrations**, making sure you're logged into Dex in the same browser.
Make sure you're on the latest version of Dana. If Dex still isn't listed, contact support at [support@danahq.com](mailto:support@danahq.com).
Currently, Dex citation links open the contact page in Dex, not the individual note. Deep linking to specific notes is planned for a future update.
## Disconnecting Dex
To disconnect Dex from Dana:
1. Go to **Settings β Integrations**
2. Find **Dex** under Personal integrations and click **Disconnect**
3. Confirm
Disconnecting removes Dana's access to your Dex data. Future briefs will no longer include Dex notes, tags, or reminders. Previously generated briefs that cited Dex data will retain those citations.
# Email

Email is a **core integration** β it's where most of your relationship history lives. Connecting email lets Dana surface the most relevant exchanges in every brief.
## Supported email providers
* **Gmail** (Google Workspace or personal Gmail)
* **Microsoft Outlook** (Microsoft 365 or Outlook.com) \[TODO: confirm support]
## Connecting email
Email is connected during signup. To check or manage it:
Click your profile and go to **Settings β Integrations**.
Email appears in your core integrations. It should show **Connected**.
Click **Reconnect** if your email has disconnected.
## What flows into your briefs
Once connected, Dana surfaces in every brief:
* **Recent email exchanges** with each attendee
* **Relevant threads** based on the meeting topic
* **Date attribution** showing exactly when each exchange happened β no more repeated or misattributed facts
All email content appears as **citations** in your brief, linking back to the original thread.
## Privacy
Dana reads your email to generate briefs but never sends or modifies messages. We don't store full email content beyond what's needed to surface relevant context. See [privacy docs](/faq/privacy) for details.
# Connecting Granola

# Granola
The Granola integration lets Dana fetch your meeting summaries, notes, and transcripts from [Granola](https://www.granola.ai) and surface them in your meeting briefs. It connects through Granola's MCP server and is available on production.
## What Dana fetches
When you connect Granola, Dana pulls:
* **Meeting summaries** from your past meetings
* **Notes** captured in Granola
* **Transcripts** from recorded meetings
Access is **read-only**. Dana never updates or modifies anything in Granola itself.
## Fetch window
Granola's free tier limits Dana to meeting notes and transcripts from the **last 30 days**. If you're on a paid Granola plan, you get a much longer history window. The overview screen notes this limit before you connect.
## Connecting Granola
1. In the Dana web app, go to **Settings β Integrations**.
2. Find the **Granola** card. If it isn't connected yet, click it to open an overview of exactly what Dana will fetch (summaries and notes, read-only access, the 30-day limit).
3. Click **Connect Granola**. A pop-up window opens with Granola's UI.
4. On Granola's authorization screen, click **Allow** (or **Connect**) to grant access.
5. You're redirected back to the Dana web app.
Once connected, you'll see the email address associated with the connection. From the same screen you can **disconnect** or remove the integration at any time. Returning to the Integrations screen will show Granola as a connected service.
## Using Granola in meeting briefs
After connecting, Dana automatically incorporates Granola data into your meeting briefs.
* When Dana pulls meeting notes from the Granola MCP server, the brief shows a **Granola citation icon** next to the sourced content.
* Clicking a Granola meeting note opens a **deep link** that launches the Granola desktop app directly to those notes.
This lets Dana surface relevant context β for example, generating a brief for a daily stand-up by pulling the associated Granola meeting notes, while keeping each source traceable back to Granola.
## Notes
* The integration requires the Granola desktop app to follow note deep links.
* Read-only by design: connecting Granola never writes back to your Granola workspace.
# Connecting HubSpot

## What flows from HubSpot into your briefs
Once connected, Dana fetches the following from HubSpot when generating briefs:
* **Contacts** - contact records and associated data for meeting attendees
* **Companies** β company details linked to your contacts
* **Deals** β deal stage, pipeline status, and related context
* **Notes** β CRM notes attached to contacts
* **Calls** β logged call records and summaries
* **Emails** β email history tracked in HubSpot
* **Meetings** β past meeting records
* **Tasks** β open or completed tasks associated with contacts
* **Tickets** β support or service tickets linked to contacts
* **Orders** β order history if applicable
Dana only fetches data that's relevant to the attendees of each specific meeting β it doesn't pull your entire CRM.
## Before you start
You'll need:
* An active Dana account
* A HubSpot account with access to the data you want Dana to use
## Connect HubSpot to Dana
Go to **Settings β Integrations**.
Under **Personal integrations**, click **HubSpot**.
Click **Connect HubSpot**. A popup will show your available HubSpot accounts. Select the account you want to connect and click **Choose account**.
HubSpot will ask you to review the permissions you're granting Dana. Select **view only** access β Dana only needs read permissions to fetch contacts, companies, emails, calls, notes, and other objects. Click **Connect app**.
You may see a warning asking you to type "I accept the risk" before proceeding. This is because Dana's HubSpot app hasn't been listed on the HubSpot Marketplace yet β the Danahq.com domain is verified, but marketplace listing requires additional steps. This is temporary and will be resolved in a future update. Type the confirmation and click **Connect**.
HubSpot will show as **Connected** in your integrations list. All future briefs will automatically fetch relevant HubSpot data for your meetings.
## How HubSpot data appears in briefs
HubSpot data shows up as citations in your brief, just like email, calendar, and other sources. Each citation includes a deep link back to the original HubSpot object β whether it's a contact record, a logged call, a task, or a deal.
Hover over any HubSpot citation to see the source type and a preview. Click it to jump directly to that record in HubSpot.
## Tip: Tell Dana how to use your HubSpot data
If you want Dana to prioritize CRM context in your briefs, add it to your [custom instructions](/features/custom-instructions):
1. Go to **Settings β Brief Settings**
2. Scroll to **Custom Instructions**
3. Add something like: *"Always surface the current deal stage, last logged call, and any open tasks for each attendee at the top of the brief."*
4. Hit **Regenerate** on any existing brief to test it
## Troubleshooting
This is expected. Dana's HubSpot app is verified but not yet listed on the HubSpot Marketplace. The warning is a standard HubSpot safeguard for unlisted apps. Type the confirmation text and click Connect β your data and permissions are handled securely with view-only access.
Try regenerating an existing brief after connecting. Dana only fetches HubSpot data that's relevant to the specific meeting attendees. If the attendees don't have matching contact records in HubSpot, there may not be data to pull. If data still doesn't appear, disconnect and reconnect from **Settings β Integrations**.
Dana only requires view-only (read) permissions. It reads contacts, companies, deals, notes, calls, emails, meetings, tasks, tickets, and orders β but never creates, modifies, or deletes any data in your HubSpot account.
## Disconnecting HubSpot
To disconnect HubSpot from Dana:
1. Go to **Settings β Integrations**
2. Find **HubSpot** under Personal integrations and click **Disconnect**
3. Confirm
Disconnecting removes Dana's access to your HubSpot data. Future briefs will no longer pull from HubSpot. Previously generated briefs that cited HubSpot data will retain those citations.
# LinkedIn

LinkedIn data gives Dana professional context about every person you meet: their role, company, background, and more.
## Current status
LinkedIn is not yet available as a connected account integration.
However, Dana already uses LinkedIn data in two ways:
### During onboarding
When you set up your Dana account, Dana uses your LinkedIn profile to learn about you β your role, company, industry, and professional context. This helps Dana personalize your briefs from the start.
### In meeting briefs
Dana surfaces LinkedIn data for your meeting attendees as part of brief generation, including:
* **Current role and company**: what they do and where they work
* **Career background**: past roles and experience
* **Professional context**: relevant details that help you walk in informed
LinkedIn data points appear as **citations** in your brief, so you can see exactly where each insight came from.
## What "Coming soon" means
A full LinkedIn connected account integration, where you authorize Dana to access your LinkedIn directly, is planned but not yet live. When it launches, it will be available under **Settings β Connected Accounts** alongside Google and Outlook.
For now, no action is needed on your part. Dana already pulls LinkedIn context into your briefs automatically.
# Connecting Notion

## What flows from Notion into your briefs
When you connect Notion, Dana starts pulling from your pages to enrich every brief:
* **What you've already written about the people you're meeting** β past notes, mentions, anything where they show up in your Notion workspace
* **Your prep docs and agendas for this specific meeting** β Dana matches them by meeting title and date automatically
* **Notes from past meetings in the same series** β including anything Notion's AI Notetaker captured for you
All Notion content shows up as **citations** in your brief. Click any Notion citation to jump directly to the original page.
## How Dana searches your Notion
Dana makes multiple search queries to find the most relevant data for each brief:
* **By meeting title**: find prep docs, agendas, and past meeting notes for the same series
* **By attendee names and emails**: find any Notion page that mentions the people you're meeting
If the initial search doesn't return enough results, Dana runs a broader follow-up search using the meeting title, organizer, and attendee names to make sure relevant context isn't missed.
## Before you start
You'll need:
* An active Dana account
* A Notion account with access to the workspace you want to connect
## Connect Notion to Dana
Go to **Settings β Integrations**.
Under **Personal integrations**, click **Notion**.
Click **Connect Notion**. A popup will open for MCP authorization. You'll see a prompt to confirm the connection URL β click **"I recognize and trust this URL"** to proceed, then click **Continue** to complete the authorization.
Notion will show as **Connected** in your integrations list. Dana now has access to your Notion pages for brief generation.
Want Dana to find your prep docs more easily? Make sure the page title or date matches the meeting. That's how Dana surfaces them automatically.

Try regenerating an existing brief after connecting. Dana searches by meeting title and attendee names, so make sure your Notion pages contain relevant names or matching meeting titles. If data still doesn't appear, disconnect and reconnect from **Settings β Integrations**.
